*** Daylight Savings Time And You ***
Microsoft recently sent out an article on the upcoming daylight savings time change
(which is March 11). Most of you will be ready because you're either 1) in a business
environment and your system administrator takes care of problems like this for you, 2)
you don't live in the United States, or 3) you subscribe to automatic Windows update and
let Microsoft worry about these problems.
However, we know from experience that some of you do not subscribe to automatic Windows
update. If you are one of these people, the you will want to check out http://support.microsoft.com/gp/cp_dst.
This is the link to the Microsoft Daylight Saving Time Help and Support Center, and contains
instructions and tools on how to update your system. If you choose to ignore the instructions,
some of your appointments may display the wrong starting and ending times starting March 11.
*** Sent Items Organizer Add-In Released ***
Do you need to organize your sent email by project or job? If so, you might be a candidate
for our newest add-in, Sent Items Organizer. It was in beta in late November/early December
and is now released to the public.
It allows you to automatically file your sent email items into the appropriate folders. It
works based on keywords, who you're sending to, or it can be set up to prompt you each time
where to save the email.
Find out more at http://www.SperrySoftware.com/Outlook/Sent-Items-Organizer.asp.
Customers have also emailed us noting that it reduces the number of rules saving space against
the 32k rules limit on Exchange. It is our 33rd add-in.
*** Contacts Sort Order Add-In Released ***
Ok, so you go to Tools...Options...Contact Options and you set the "File As" order. You go back
to your contacts folder and what? The contacts aren't sorted the way you told it to, what happened?
The problem is that Outlook will BEGIN using that format going forward. All existing contacts will
stay with the order they were created with - until now.
Sperry Software's 34th add-in is called the Contacts Sort Order add-in. This add-in helps you
organize your contacts by either 'first name, last name' order or 'last name, first name' order.
It automates what is otherwise a tedious, error prone process by going through each contact and
resetting both the File As field and the fields for the address book display. This add-in is free
if you promise not to contact Sperry Software for technical help (other than installation issues).
The included help file can also get you organized by explaining how to sort your address book entries
by 'last name, first name' (or vice
versa) as well.
See http://www.SperrySoftware.com/Outlook/Contacts-Sort-Order.asp for more information including how to download it.
Note: You will need to upgrade your current add-ins from Sperry Software before installing this
new add-in. You can upgrade by going to http://www.sperrysoftware.com/Outlook/KeyAdmin-UserRequest.asp
and requesting your keys be resent. When they are resent, they will contain the URLs to the most recent
version of your currently registered versions. You can then uninstall the previous versions by going
to Control Panel...Add/Remove Programs and selecting Remove, download the newest versions, and install
the new ones to begin using them.
*** Call for Beta Testers: Global Search And Replace ***
What do you do with your Outlook contacts when an area code splits?
What about when a company gets taken over and they change their name and you have dozens or hundreds of
contacts in that company? What if they move and their (physical) address changes?
Our next add-in is good for updating multiple contacts at once when fields like area codes/telephone
numbers, street addresses, or company names change. It updates entire Outlook contacts folders at once.
As such, it comes with a warning: This add-in is so powerful you will want to be careful when using it
and be sure to make backups before you start. It basically works by finding any text you specify and
replacing it with any text you specify. It accepts wildcard substitutions (like for email addresses say,
*@myCompanyname.com) but actually uses the more powerful regular expressions syntax to find just the right
items you want to substitute.
Like all our beta tests, the final version will be free to you in thanks for participating in our trial.
To find out more, including how to obtain your free download, browse to
http://www.SperrySoftware.com/Outlook/Global-Search-And-Replace.asp.
Note: Just like the other new add-ins, you will need to upgrade your current add-ins from Sperry Software
before installing this new add-in.
You can upgrade by going to
http://www.sperrysoftware.com/Outlook/KeyAdmin-UserRequest.asp and requesting your keys be resent. When
they are resent, they will contain the URLs to the most recent version of your currently registered versions.
You can then uninstall the previous versions by going to Control Panel...Add/Remove Programs and selecting
Remove, download the newest versions, and install the new ones to begin using them.
*** All Sperry Software Add-Ins Are Now Outlook 2007 Compatible ***
We have specific versions for OL2007 that now take advantage of the new Office ribbon (officially dubbed "Fluent")
with large buttons now available on a "Sperry Software" tab. As has been the case in the past (and as specifically
promised to some of you), upgrades to this new version are free (we maintain our earlier stand that if you purchased
before June 1 2004 you must pay for the add-ins again, however even then we still offer 50% off the upgrade price
(contact us for details on this)). One note on the ribbon: We've been using Outlook 2007 for a while now.
At the beginning, there is a learning curve, but later we learned the location of all our favorite commands and
we're back up to speed. In our opinion, the ribbon comes in most useful when accessing commands and features that
you normally don't use on an everyday basis because for those commands, you don't need to search for their location
(or in some cases, you can even learn that Office supports the feature you always wish it had).
In addition to support for Outlook 2007, we are changing our distribution technology. In the past we have
distributed our add-ins as MSI files. MSI files are compact Microsoft installer files that are easy to create
and install and if necessary, remove. However, we are switching our installer technology to generate EXE files
instead. They are just as easy to install and remove (via Control Panel...Add/Remove Programs, in case you didn't know).
Part of the reason for the switch is to reduce the number of problems some of you have had in the past and part is
to accommodate Windows Vista (which the new EXE versions do).
You do not need to do anything; just be aware that the "msi" portion of the filenames are now "exe" (the locations of
the files are still the
same) on our website.
*** Latest Outlook Fix...Doesn't ***
A few weeks ago, Microsoft released a security patch that upgraded Outlook 2003 to be more secure but this upgrade
also caused some of the add-ins to behave erratically. If you've had trouble reaching us in tech support, this is why.
This patch affected any Sperry Software add-in that placed a toolbar button on an individual email, contact, task, etc.
We know that this Outlook security patch affected at least these add-ins: Add Email Address, Always BCC, Distribution
List Manager, Follow Up Reminders, Hide Fax Numbers, Insert Date Time, Mobile Email Redirect, Print On Demand, Quick
Text Hotkeys, Random Quote Insert, and Send Individually.
You can tell if you have this Outlook version by going to (in Outlook) Help...About Microsoft Office Outlook.
If the version number reads 11.8118.8107, then you may be affected. If you are also running the Sperry Software
"engine version" 3.5.34 OR LESS, then you will want to upgrade to the most recent versions
(see http://www.SperrySoftware.com/Outlook/Updates.asp). You can tell which version of the Sperry Software engine
version you have by going to (again in Outlook) Sperry Software...About Sperry Software Add-Ins, then look at the
version number on the left hand pane. We keep track of the engine version separately from the other versions - because
the engine is the part of the code that is common to all our add-ins and is frequently updated without updating the other
portions of the add-ins.
If you have engine version 3.5.34 or less, than you will want to upgrade your add-ins.
It's interesting to note that we have reports of Plaxo, X1, and SpamBayes also suffering from this same security
patch upgrade (although their symptoms appear to be different). If you search for "11.8118.8107" on your favorite
search engine, you'll find evidence of problems that abound with this troublesome release.
*** Recent Fixes And Updates ***
We continue now with our new segment to let you know what changes have been made to the add-ins. Keep in mind
that the items presented here are usually minor enough to not warrant a full release, but are important enough to tell you about.
Vcard Converter
- Added a checkbox to allow exports according to Vcard 2.1 specs.
Previously, the add-in always exported according to the 3.0 spec, which is better, but some Palm users were
experiencing trouble when they went to import those versions.
Time Date Signature
- Added an "" tag to the signature so that the user's login name can be appended automatically.
This is useful when sending emails from a shared mailbox so that you can tell who exactly sent the email.
Sent Items Organizer
- Fixed a bug when using Associate Contacts Mode that made the add-in copy the item instead of move it.
Attachment Save, Add Email Address and Reply To All Monitor
- Fixed a problem when forwarding or replying to report items (NDRs)
Attachment Save
- Fixed a problem when saving emails in a format other than .msg.
Email Reminders
- By request, added the ability to limit the number of characters sent in the body of the message.
Latest engine version: 3.5.35 for Outlook 2003 or below, 3.7.208 for the Outlook 2007 specific versions.
As mentioned, this number can be found by going to (in Outlook) Tools...Sperry Software...About Sperry Software Add-Ins.
The Engine Version is listed on the left hand side.
If you find you need to upgrade, see http://www.SperrySoftware.com/Outlook/Updates.asp.
