How to Automatically Add a BCC with Safeguard Send

Safeguard Send for Microsoft 365 can automatically add a BCC (or CC) recipient when an outgoing message matches a rule. The same rule runs in classic Outlook, new Outlook, and Outlook on the web, so you do not have to teach users to show the BCC field on every compose window.

This is an SS365 action. It is not available in Safeguard Send Core. If you are on Core and need auto-BCC, upgrade to Safeguard Send for Microsoft 365. See the version comparison.

When to use an automatic BCC

Common setups:

  • BCC a compliance or records mailbox on every external email
  • BCC a supervisor or CRM address when the subject or body contains certain keywords
  • BCC a shared mailbox when sending to specific domains
  • BCC on every send if you want a default copy of all outgoing mail

Use more than one rule if the BCC address or the condition should change. For example, one rule for client domains and a different rule for everyone else. Team-specific rules can also be assigned with Groups.

How to enable it

  1. Sign in to the Safeguard Send dashboard.
  2. Open the rule set for your company domain, then open the rule you want to change (or create a new rule). See Creating or Editing a Rule if you need the full field reference.
  3. Set the Conditions — for example, Prompt When Sending Outside the Company, sending to specific recipients, matching keywords, or every send.
  4. Scroll to the Actions area below Conditions. Enable Add a CC/BCC.
  5. Set CC/BCC Type to BCC (or CC), then enter the address in CC/BCC.
  6. Optionally keep Display a Prompt enabled if users should also confirm before send. You can add a BCC with a prompt, or add it without one.
  7. Click Save. Anyone using the add-in will pick up the change on the next send.

Note: even when the extra recipient is a BCC, the address is visible to the sender in Sent Items.

Classic Outlook, new Outlook, and Outlook on the web

Because SS365 is a Microsoft 365 add-in installed in the tenant, the BCC action is not limited to classic Windows Outlook. Users on new Outlook and Outlook on the web get the same behavior without a COM add-in.

If a user still cannot see the BCC field in the compose window, that is expected — Outlook hides it by default. They do not need to show it for SS365 to add the BCC.
